Full-time Position Better Living Health and Community Services
For over 40 years, Better Living Health and Community Services (www.betterlivinghealth.org) has been helping seniors and adults with disabilities in the Don Mills community stay healthy at home for as long as possible. Essential community support services like meals on wheels, transportation, and grocery delivery combined with wellness and leisure programs provide seniors with the tools they need to live healthfully and independently. Better Living also offers hospice palliative care through Alliance Hospice for people dealing with advanced illness, death and bereavement.
Committed to becoming a centre of excellence for the delivery of healthcare services, Better Living Health and Community Services has an exciting opportunity for an Administrative Assistant. The successful candidate will provide administrative assistance by working out of two sites: Better Living at 1 Overland Drive - 4 to 4.5 days a week and Alliance Hospice at 29 Gervais Drive - .5 to 1 day a week.
Responsibilities:
At Better Living Health and Community Services Site
Report to the Manager of Administration and Special Projects and provide administrative and clerical support and backup for the following:
1. Proactively provide administrative assistance to the Senior Vice President Community Services and the Accounting department by organizing and managing the office, assessing needs, creating administrative procedures and continually tracking and organizing priorities and filing. Take initiative and make timely and informed decisions and recommendations related to administrative plans and issues.
2. Manage the day-to-day operational and administrative activities of the Senior Vice President Community Services by organizing meetings and events and filing.
3. Attend and participate in meetings as required; take notes on decisions taken and follow-up action required. Assist with the preparation of the annual AGMs and board meetings.
4. Draft email correspondence, assemble and summarize information necessary for the Manager of Administration and Special Projects and the Senior Vice President Community Services. Provide routine and general information, redirect calls and correspondence to the appropriate person, as required.
5. Screen incoming correspondence bringing to the Manager of Administration’s attention urgent matters: handle sensitive correspondence with utmost tact and confidentiality.
6. Order, track and organize inventory of office supplies.
7. Maintain copiers and postage machine.
8. Update database for Marketing mailings.
9. Process invoices, courier packages and sort and deliver mail.
10. Provide occasional relief to Reception in answering phones and directing visitors.
11. Organize and maintain Administration filing system.
12. Administrative assistance to other departments as directed by Manager of Administration and Special Projects.
At Alliance Hospice Site
Report to the Executive Director and provide administrative and clerical support and backup for the following:
1. Finance: Manage invoice payment, petty cash, credit card transactions and donations.
2. Order office supplies, track inventory and maintain office equipment.
3. Provide computer support and manage outsourced IT consultant in repair and service of computer equipment.
4. Manage Telephone administration.
5. Document office procedures.
6. Administer fundraising events and mailing.
7. Administration of Advisory Board data and meetings.
Qualifications:
・ Post secondary diploma or certificate in Administrative Assistance or equivalent experience.
・ Excellent written and verbal communication skills; ability to communicate ideas and issues clearly, concisely and accurately.
・ Must be computer literate and proficient in Word and Excel. Understanding of database program.
・ Strong organizational skills with attention to detail and accuracy to perform assigned tasks with minimum supervision.
・ Ability to manage issues, schedules and multiple tasks with demonstrated analytical and problem solving skills and decision-making ability.
・ Understanding and sensitivity to issues and challenges of Seniors, aging and palliative care and the agencies that serve them.
・ Previous office experience.
・ Excellent interpersonal skills.
・ Very effective organizational and time management skills.
Salary range: $28,180 - $30,540 per year
